Tour Policies

Bicycle Tour Policies.  Please take a moment to read about tour Policies for The Road Not Taken Bicycle Adventures, which include Reserving Your Tour, Cancellations and Refunds, Health and Medical, Solo Travelers, Safety, Children, and Passports.

 
 

Tour Policies

By making a deposit or purchasing a tour, you agree to all of our Terms & Conditions and Tour Policies.  We endeavor to conduct tours with the routes, accommodations, partners, and activities communicated on our website and other mediums.  We reserve the right to make changes to routes, accommodations, partners, and activities as needed to maintain the quality of our tours or when circumstance out of our control occur with any 3rd party partners.  In addition, you acknowledge and consent that during a tour we may take photos and video recordings, which may include you, to be used for marketing and promotional purposes by us or any of our 3rd party partners.

 

Reserving your tour

When you reserve a tour, a deposit or full payment of the tour price is required to hold your reservation.  If the tour start date is 90 days or less from the date you request a reservation, the entire tour price per guest is due.  If your reservation is made greater than 90 days from the tour start date, a deposit of $500 per guest is required to hold your reservation.  The remaining balance (tour price less any deposit) is due 90 days prior to the tour start date.  If your deposit was made by credit card, the credit card number provided will automatically be charged the remaining balance.  If full payment is not received 90 days prior to the tour start date, your reservation will be forfeited and any payments received will be subject to the Cancellations and Refunds policy.

Unless otherwise indicated, all tour prices are per guest based on double occupancy accommodations.  For guests traveling with someone and sharing a room with one bed, if this option is available, you may be subject to additional charges by accommodation partners which is due prior to the tour start date.  Any additional charges assessed by accommodation partners will be communicated to you once known to us.

 

Solo Travelers

For guests that select the single occupancy supplement option, we will make our best effort to fulfill the request, however some facilities may have a limited number of single rooms available.

All guests that elect to share a single room having two beds with another guest (find a roommate for me option) will need to pay the single occupancy supplement cost when reserving a tour.  If we are able to match you with a roommate prior to the tour start date, 50% of the single occupancy supplement cost will be refunded prior to the tour start date and the remaining 50% will be refunded after the tour end date.  If we are unable to match you with a roommate prior to the tour start date, you will become a single occupancy supplement guest.

 

Cancellations & Refunds

All guest initiated requests to cancel or change tour dates must be received in writing and will be subject to the following per person cancellation charges based on the date your request is received.  

If your request is received 30 days or less from the tour start date, there is no refund.  The cancellation fee will be 100% of the tour price. 
If your request is received 31-60 days prior to the tour start date, the cancellation fee will be 75% of the tour price.
If your request is received 61-90 days prior to the tour start date, the cancellation fee will be 50% of the tour price.
If your request is received 91-120 days prior to the tour start date, the cancellation fee will be 25% of the tour price.
If your request is received greater than 120 days prior to the tour start date, the fee will be $150 to cover administrative costs and any fees assessed by our 3rd party partners.

To avoid cancellation fees, guest substitutions or credit toward another tour will be considered based upon accommodation availability and may be subject to increased costs, for example single occupancy supplement.  Guest substitution is considered the replacement of your name with that of another guest for the same tour when you have granted possession to the substituted guest of any payments you made to date.  Each original guest removed from and each substituted guest added to a tour due to substitution will be charged a $150 fee.  We will make every effort to satisfy requested changes, however all changes are not guaranteed and are subject to availability. 

No refunds will be made beginning on the tour start date or for unused portions of a tour for any reason, including no shows, travel interruption beyond your control that delays arrival, weather, missed tour itinerary, personal emergencies, health reasons, or physical inability to continue the tour.  No exceptions to this Cancellations and Refunds policy will be made for any reason.

 

Cancellation by The Road Not Taken Bicycle Adventures

We reserve the right to cancel a tour due to hurricane, severe weather, or other conditions that may impact the safety of our guests, less than a minimum number of guests registered for a tour, or any other reason.  A full refund or credit for a future tour will be provided if this circumstance occurs and we will collaborate with each guest in an attempt to reach your preference.

However, if we cancel a tour we will not be responsible for refunding or reimbursing guests for any additional expenses related to a cancelled tour such as arrival prior to the tour start date, extending stay after the conclusion of the tour, airfare fees, guest initiated itinerary items exclusive of the tour itinerary, etc.  For this reason, we recommend the purchase of travel insurance that covers the above mentioned expenses.

 

HEALTH AND MEDICAL

If you or someone travelling in your party has a medical condition (physical, mental, behavioral, etc.), you must inform us in writing before the start date of the tour.  Failure to inform us in writing before the tour start date may result in our refusal to allow the guest to participate in the tour and subject that guest to the Cancellation and Refund policy; or it may prevent us from supporting the condition if special equipment is required to be transported during the tour.  In all cases, we will have no financial liability arising from your failure to inform us of any special requirements to participate in the tour.

It is expected that all guests select a tour appropriate to their physical condition and abilities.  Guests are expected to be in good health to participate in the tour and that each guest has discussed in advance with a doctor any concerns they may have about their intent to participate in the tour.  We are not responsible for the quality of medical care administered during the tour (whether by us or a 3rd party), the cost of any medical care received, or the lack of adequate medical facilities along the tour route.  All guests are strongly encouraged to review their existing medical insurance or obtain medical insurance prior to participating in the tour to ensure coverage for any circumstances that may arise.

Bicycling and bicycle touring requires physical exertion that may be considered overly demanding by some individuals.  These activities also involve the risk of accident that may result in physical injury or death caused by the guest or others.  All guests are required to sign a Liability Release Waiver prior to participating in the tour.  Failure to sign a Waiver will prevent that guest from participating in the tour and we will not be held responsible for any financial loss resulting from this situation.  

 

CHILDREN

Children under 18 may be accepted on a tour but must be accompanied at all times during the tour by a parent or legal guardian.

Guests are expected to obey all traffic laws, signs, devices, etc. while participating in the tour.  This includes no earbuds or cellphone calls while riding.  In addition, guests are expected to maintain an adequate distance from other bicyclists and use hand signals to indicate turns and stopping.  Courtesy toward other guests and our personnel is expected at all times, as personnel may suggest curtailment of actions or behavior perceived as impacting or having the possibility of impacting the safety of other guests or personnel.  In summary, have fun but be safe.

 

Passports

For tours that cross the United States border, all guests are required to have a valid passport to enter Canada and re-enter the United States.  It is recommended that passports are not nearing expiration at the time of travel.  You are responsible for ensuring your passport is issue-free and will allow uninhibited travel during the tour.  We are not responsible if you are detained, delayed, or otherwise unable to continue during the tour due to passport issues.
